Export Documentation Specialist

A Typical Day
The Export Documentation Specialist is responsible for supporting export activities, preparing and coordinating time sensitive commercial documents for worldwide distribution ensuring compliance with US and foreign government laws and regulations as well as handle recordkeeping requirements to support timely payment of product.
Job Responsibilities
•File all export data in the Automated Export System (AES) as required by US and foreign governmental agencies.
•Order all applicable certificates from US governmental agencies as required for each shipment.
•Prepare, assemble, audit and present export documentation packet as required per customer and country specific destination in accordance with export laws and regulations for overseas shipments in a timely manner.
•Process commercial invoice documents by validating data integrity and accuracy.
•Proof Bill of Lading documents sent from carriers.
•Prepare Shipper’s Letter of Instruction (SLI) for freight forwarder.
•Review, approve and execute Letters of Credit (LC).
•Utilize banking software for retrieval and issuance of confidential customer information.
•Generate credits/debits within SAP for Commercial Invoice alignment.
•Communicate and coordinate with various internal parties including Finance, Quality Assurance, Logistics and Customer Solutions to ensure customer and export requirements are met and/or resolve problems or issues.
•Communicate with various external parties including freight forwarders, steamship lines, brokers, banking institutions, USDA, FDA, USDEC, Chamber of Commerce and customers in order to meet documentation requirements and/or resolve problems or issues.
•Maintain contact with customers regarding the status of their documents and shipments.
•Support cross-functional departments involved in international business transactions.
•Maintain export files in an organized and catalogued system.
•Maintain up-to-date customer, customs and country requirements
•Continue education and ongoing review of export requirements.
What You Will Need
•High School diploma and 4 years’ of related experience OR Associates degree plus 1 year of related experience.
•Experience with MS Word, Excel and Outlook.
•Ability to adapt to a fast pace working environment.
•Strong analytical and project management skills.
•Excellent verbal and written communication skills with the ability to interact at all levels of the organization.
•Logistics experience.
•Export documentation experience.
What Will Put You Ahead
•High School diploma and 6 years’ of related experience OR Associates degree plus 2 years’ of related experience.
•Experience with SAP.
•Thorough knowledge of export documentation.
•Knowledge and understanding of export regulations and U.S. Customs guidelines.
Physical Demands & Work Environment
