Administrative Assistant

A Typical Day

The Administrative Assistant coordinates and implements office services such as records control, projects and other administrative activities for Division Leaders and its affiliated departments; interprets operating policies; exercises independent judgment in the resolution of administrative problems.  Participates in the development and/or maintenance of budgets and reports.  May be expected to handle sensitive and/or confidential information.

Job Responsibilities

  • Analyzes unit operating practices such as record keeping systems, forms control, office layout, creating new systems or revising established procedures.
  • Coordinates special projects and events, office activities and meetings.
  • May make travel and accommodation arrangements.  May assist with expense reports as needed.
  • Uses various software applications, such as spreadsheets, word processing and graphics packages to assemble, manipulate and/or format data and/or reports.  Generates routine correspondence as needed.
  • Supports and/or participates in the preparation and/or maintenance of the budget for division.
  • Maintains calendar, schedules appointments and meeting rooms.
  • Maintains records through filing, retrieval, retention, storage, compilation, coding, updating and destruction.
  • Reconciles and monitors department use of House Account.
  • May manage SharePoint site for department.
  • Answers telephone, screens callers, relays messages, and greets visitors.
  • Opens, sorts and screens mail.  Processing various requests for information as needed.
  • Assists with processing of invoices for payment as needed.
  • Operates office equipment such as photocopier, fax machine, and calculator.
  • Completes requests for office supplies and equipment.
     

What You Will Need

  • High School diploma and 4 years of related experience OR Associates degree plus 2 years of related experience
  • Excellent verbal and written communications skills
  • Excellent organization skills 
  • Excellent knowledge of MS Office 
  • Superior planning and time management skills 
  • Demonstrated ability to manage confidential information
  • Regular and predictable attendance 
  • Ability to adapt to a fast pace working environment
  • Strong analytical and project management skills 
  • Excellent verbal and written communication skills with the ability to interact at all levels of the organization
  • Ability to prioritize and meet deadlines is essential

What Will Put You Ahead

  • Associates degree and 3 years of related experience OR Bachelor’s degree and 1 year of related experience.
  • SAP software experience 

Physical Demands

The work is primarily performed in an office environment and the physical demands are characteristic of a mostly sedentary role.  Specific details of the essential functions of the position is available in the Job Safety Analysis, made available on request.
